This Privacy Policy describes how the SIPB LEARNING Android Application (the "App") collects, uses, stores, and protects your information. By using the App, you agree to the practices described in this Privacy Policy.

App Description & Registration

SIPB LEARNING is a secure educational Android application developed exclusively for registered students of SIPB. It provides academic resources such as lecture notes, videos, assignments, attendance monitoring, class schedule monitoring, and exam results.

There is no self-registration option. Students are registered on the official website (https://www.sipb.in), where they agree to the institute's policies, including but not limited to the SIPB LEARNING App policy, SIPB official website policy, and Internal Academic and Administrative Policies. Their information is then manually added to the App's secure database by the SIPB Admin.

Please note: This Privacy Policy is to be read and understood in conjunction with the SPECTRAL-LINE INSTITUTE OF PHYSICS-BAGDAH Rules and Regulations (Ref. No. SIPB/ADM/REG/2025/09/001) and the Terms and Conditions of the SIPB LEARNING App (Ref. No. SIPB/ADM/SLApp/2025/09/002), which are also accessible within the App and on the official website.

1. Information We Collect and Its Purpose

We collect the following information from you to provide and maintain the App's services and to provide a quality education throughout the entire course period.

a. Information Collected at Admission (via the official website)

The following information is collected during your admission and is used to verify your identity and eligibility for admission:

• Name, Email, Contact Number
• Address, Guardian Name, Guardian Contact Number
• Program/Course Information
• Optional: Scanned copy of passport-size Photograph and Signature

b. Information Provided to the App

After your registration, a unique registration number (to identify the student) and a batch code (to identify the student’s batch) are automatically generated by the system of SIPB's official web server. You will be notified of your registration confirmation along with your registration number and batch code via email and SMS. The SIPB Admin then manually inputs the following into the secure app database to ensure you can access the SIPB LEARNING App and its educational resources:

• Student Name
• Gmail Address
• Registration Number
• Batch Code

This data is used for:

• User authentication via Google Sign-In.
• Delivering class-specific (batch-specific) content and academic resources.
• Enabling schedule-based features.
• Fetching results, attendance, and other resources from SIPB’s official web server.
• Fee payment records, invoices, installment information, and payment status may be retrieved from SIPB's official web servers and displayed within the App for academic and administrative purposes.

2. Permissions Required by the App

The App requests the following permissions from your device to function correctly. You can manage these permissions in your device's settings.

• Notification: To send you announcements about newly uploaded teaching materials.
• Internet Access: To enable real-time synchronization with our academic database and web servers.
• File Access: This permission is required to save encrypted lecture notes and videos for offline use. The App does not access, read, or store your personal files, photos, or media. It only writes to and reads from its secure, app-specific storage.
• Biometric: The App uses your device's built-in biometric authentication (e.g., fingerprint, face unlock or screen lock) as a secure way to access the App when offline. We do not collect, process, or store your biometric data, screen lock PIN, password, or pattern. This data remains securely on your device, managed by your operating system.
• Camera:The App may request access to your device's camera solely for scanning QR codes issued by SIPB for authorized offline fee payment verification and related institute services. Images and video captured through the camera are processed locally for QR code recognition and are not stored, transmitted, recorded, or used for any other purpose unless explicitly stated.

Note: The process for granting these permissions may vary depending on your device's Android version. Newer versions of Android require you to grant these permissions at runtime when the feature is first used, while older versions may require them at the time of app installation. In all cases, you can manage these permissions at any time through your device's settings.

3. Data Storage and Security

• All data transmitted between the App and our servers is encrypted.
• Teaching materials that you save offline will be encrypted with AES encryption.
• User identifiers (Name, Registration Number, Gmail Address, etc.) are cached securely and also encrypted.
• The SECURE flag is used on Android to prevent unauthorized screen captures of lecture content.
• Data is stored securely on Google Firebase (app database) and GoDaddy web servers (admission and academic records).
• Access to databases is restricted to administrators and reviewed periodically for security compliance.
• QR Code Verification: For authorized offline fee payment verification, the App may scan institute-issued QR codes containing secure verification tokens. These tokens are used only to authenticate and verify fee payment requests. QR code contents are not shared with third parties and are retained only for the duration necessary to complete the verification process.

4. Data Sharing Policy

• We do not sell, trade, or rent your personal information to others.
• No data is shared for advertising or monetization.
• Data may be disclosed to authorities only if required by law or a court order.

5. Your Rights and Data Retention

Data Retention:

Your data is retained for up to 3 years from your registration date. Post-course completion, your data will be deleted within 3–4 months.

If your registration is cancelled due to violation of our Rules and Regulations or Terms and Conditions, all your data stored on the SIPB web servers and App databases will be permanently deleted and you will lose access to all SIPB services associated with the App and your registration.

User Control:

You may request corrections to your information or a full or partial data deletion. You can do this by contacting us at the email address below. Deletion is permanent, and app access will be revoked after the process, which takes up to 7 working days. You can also request to no longer use the SIPB LEARNING App; in that case, your data stored on the SIPB App database at the time of your registration will be deleted. This process is irreversible, and you will not be able to access any App-related content after deletion.

6. Children's Privacy

This App is designed for students in Class 11 and 12, who are typically aged above 13. It is not intended for or directed at children under the age of 13. We do not knowingly collect personally identifiable information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will take steps to delete such information and close the associated account.

7. Fees and Charges

The SIPB LEARNING App is provided free of charge to all registered SIPB students. The App itself does not collect, store, process, or transmit online payment card information, banking credentials, UPI credentials, or other financial account details. The App may be used to record, verify, and display tuition fee and other academic fee payments made through authorized SIPB payment channels. Certain features may allow students to verify offline fee payments by scanning institute-issued QR codes or using similar verification mechanisms. All fee-related records displayed within the App are maintained on SIPB's secure servers and are used solely for academic and administrative purposes.

8. Policy Updates

Any modifications to this policy will be notified on the official website, https://www.sipb.in/ , and also through email. Your continued use of the App after any update constitutes your agreement to the revised policy.
